The Executive Assistant is responsible for supporting our senior leaders and having experience working independently, being detail-oriented, and having excellent technical and communication skills. This position demands the highest level of confidentiality and trust. One must exhibit skills in building and maintaining strong relationships internally and externally. Key Accountabilities/Responsibilities:Manage calendars, making appointments and prioritizing sensitive mattersHeavy scheduling of internal and external calls and meetingsCoordinator and Facilitator of internal and off-site meetingsProviding administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalfDraft and distribute communications to internal and external stakeholdersResponsible for agenda building, meeting minutes and follow-upPurchase order requisitions, tracking and payment confirmations; work with applications with contract management and vendor managementDomestic and International travel booking to include air travel, ground transport, accommodations and communicating those arrangements to pertinent personsTracking business expenses and submitting expense reports in a timely fashion and in accordance with company policyLiaise between local and international admin teamsDemonstrate initiative, professionalism and flexibility throughout frequent interruptions, conflicting priorities, and varying workloadsMaintain confidentiality and discretion in all aspects of team and company informationOther additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as neededRequired Experience and Qualifications:Associates Degree and/or at least 8+ years of administrative experience, with 4-6 years proven experience as an Executive Assistant to VP/C-Suite level ExecutivesExperience working in Concur, Oracle, Workday and SharepointStrong proficiency in Microsoft Office (Excel, Word, Outlook, Powerpoint, TEAMS)Excellent time management skills and proven ability to meet deadlinesExcellent verbal and written communication skillsStrong organizational skills and ability to multitaskDetail orientedProblem-solving and decision makingProa...
