The Role The Office Administrator is responsible for the day-to-day administrative, facilities, and basic IT support functions of the Dubai office, ensuring a well-organized, compliant, and fully operational workplace. The role acts as the central point of contact for office operations, building management, government compliance visits (including MOHRE), and employee support matters. What You’ll Do Office administration & facilities Oversee daily office operations, ensuring the workplace is organized, well-maintained, and fully operational. Act as the primary point of contact for facilities-related matters, liaising with the building management team and landlords on maintenance, repairs, access, and other facilities issues. Manage relationships with office vendors, including cleaning, maintenance, catering, courier, and security services. Coordinate office supplies, equipment, and stationery procurement, tracking budgets and expenditure. Manage Ejari registration and renewals for company office premises. Support the organization of internal meetings, events, and visits, including room bookings, catering, and logistics. Assist with onboarding logistics for new employees, including workstation setup and office orientation. Maintain office health and safety standards and ensure compliance with local workplace regulations. Manage incoming and outgoing correspondence, deliveries, and visitor reception as required. Assist with travel arrangements and logistics coordination for staff and visiting colleagues as needed. Support HR and administrative teams with general office-based tasks, document handling, and record-keeping. IT Support Assistant (Office IT Support) Act as a point of contact for basic office IT needs, such as helping colleagues with simple issues (e.g. connecting to Wi-Fi, printer access) and liaising with the IT teams for anything more involved. Coordinate the setup of IT equipment and system access (laptops, monitors, peripherals, access, etc.) for new hires as part of onboarding, working closely with the IT team to ensure everything is ready. Log and escalate any IT issues to the IT team, and external vendors when necessary, following up to ensure timely resolution. Help keep shared office equipment running smoothly — printers, scanners, and meeting room AV/video-conferencing systems — by reporting faults promptly and coordinating with IT or vendors for maintenance.
